E-Mail & SMS Communication: 8 April 2009

I’ve been using a different layout for the regular Updates and occasional Extras since 30 March 2009.  If the blog is an “online clubhouse”, the new format Updates and Extras can be seen as its “newsletter”.

As has been stated on the various versions of “The Blog & Communication” sub-page since it was first written on 27 July 2008:

One of the purposes of the blog is to minimize the use of e-mails and SMSs to organize our regular sessions, making collation of numbers easier and more transparent, …. It also avoids clogging up individual e-mail accounts with numerous mass e-mails.

Clogging up of e-mail accounts was first raised as issue on the blog on 17 March 2008, soon after the blog was first set up, and again on 4 April 2008.

I started entitling the regular e-mails “Updates” at the start of August 2008.  Initially, they were sent out each Monday, Wednesday and Friday.  In early November 2008, I reduced this to Monday and Friday.  Any other mass e-mail sent out between Tuesday and Thursday was entitled an “Extra”.

Towards the end of March 2009, I did away with the Friday “Updates” too, leaving just one “Update” on Mondays.  Any other mass e-mail(s) sent out between Tuesday and Friday will be “Extras”.

I’m even less inclined to use SMSes than e-mails.  Like I said before:

It would be ideal if everyone checked the blog regularly, and saw for themselves from the Current Schedule page [and that week’s Schedule post] which sessions were full, and which sessions still had places left, but I accept that not all of you do that, either because you’re busy with other stuff, or the blog is blocked at work, or you do not have internet access at home.

While trying to minimize the use of SMSes (and e-mails), I will continue to use them (including ad hoc e-mails) for the reasons listed here.

To this end, I ask for participants’ e-mail addresses and mobile numbers.   However, I do not show them on the blog – they are merely shown as being “On file”.

As has been said on the various versions of the Contact List and Participant List since last year:

Your e-mail address and contact number may be shared with the other participants in a session or for any other purposes related to this blog.

To facilitate participants communicating directly with each other, I’ll share the contact details I have on file with other participants as follows:

  • All mobile numbers with all participants whose mobile numbers I have.
  • E-mail addresses and mobile numbers with editors.  Anyone who successfully organizes  other activity through the blog can be added as an editor.  Currently, the only editor is Andy M.

    Next Monday’s Update will be limited to those whose mobile numbers I have “On File”. I will include a list of all mobile numbers that I have for participants.

    If your mobile number has changed since you provided it to me, please let me have your current one.

    As far as e-mail addresses are concerned, I assume that if you’ve been receiving the Updates and Extras, the one I have for you is correct.

      A listing of Participants’ mobile numbers is attached to today’s Update. If your number on the list is outdated, please let me have your current number.

      Use the list wisely, for example, for the following:

      • For any two regulars to choose their respective teams under the selection method.

      • To try to find a replacement for yourself should have to withdraw from a session on the day of the session itself.

      I will attach an updated list in the first Update of each month.

    If a session is for any reason cancelled after 5 pm on the day of the session itself, I will inform those still confirmed for the session by SMS or telephone, as I have for the cancellation of tonight’s session as The Cage.

    I have provided Tom with the e-mail addresses I have for those on the Participant List, so that he can continue with the “Meet The Player, Meet The Man” feature.

    The links in the e-mail Updates and Extras are now directly to the posts under which you can confirm for the Monday FAFI game, the mid-week routine sessions, the weekend game/session or other OPSAGE (instead of to the Routine Schedule or OPSAGE pages, as it used to be).

    You can still find a listing of the sessions/games under the Routine Schedule or OPSAGE pages, and follow the link from there.

    If there has been an “Extra”, it has usually been on Thursday or Friday. We had one on Wednesday this week. Unusually, there will be a second one this week, and on a Saturday at that. So a total of three in a week for the first time since I first abandoned the Wednesday Updates in early November 2008.
